These terms govern your use of rVODE — bookkeeping software built for film and television. They explain what rVODE does and does not do, how billing works, and where responsibility sits. Two points up front: rVODE never holds your money, and rVODE is software, not your accountant or tax adviser.

01 Who these terms bind

These terms are an agreement between you (the account holder) and RVODE LIMITED, registered in [England and Wales] under company number [company number], registered office [registered address]. By creating an account or using rVODE, you accept these terms. If you use rVODE on behalf of a company, you confirm you are authorised to bind it.

Sweden. rVODE is not yet available in Sweden; a waitlist is open ahead of launch. A Swedish-market agreement and operating entity ([RVODE AB]) will apply at launch.

02 What rVODE is

rVODE is bookkeeping software for film and television freelancers and the companies who make their work. It reads booking emails and documents, drafts invoices, applies film-specific rules (kit fees, per diems, day rates, VAT and reverse charge, recorded status determinations), reconciles payments through read-only open banking, and prepares records and submissions so that you — or a licensed professional — can file them.

rVODE keeps your records in line with Making Tax Digital requirements. rVODE does not claim official recognition or approval it has not been granted. Where filing recognition applies, we will state it plainly and only once it is true.

03 rVODE is software, not your adviser

ImportantrVODE provides tools and prepared figures. It is not a regulated accountant, auditor, or tax adviser, and nothing it produces is professional advice. Figures it shows — margins, set-aside amounts, what you owe or are owed — describe your position as it stands now; they are not forecasts, verdicts, or a substitute for professional judgement. Decisions, and responsibility for filings, remain yours. Where a matter carries professional liability — such as a signed year-end — it is put in front of an independent licensed professional to review and sign.

rVODE never determines your IR35 (or equivalent) status. It applies a status determination you have been given; it does not originate one.

04 No custody of funds

rVODE never holds, receives, or moves your money. We do not operate a wallet, a float, or a client account. rVODE reads your bank read-only through a licensed open-banking provider (Tink) and prepares payment files and links. Every payment moves through your own bank, in full and directly. You are responsible for reviewing and authorising payments with your bank.

05 Your account

  • You must provide accurate registration details and keep them current.
  • You are responsible for activity under your account and for keeping your sign-in secure. We use verified sign-in (passkeys; in the UK, GOV.UK One Login; in Sweden, BankID).
  • You must be old enough to enter a contract and authorised to act for any business you represent.
  • One person or entity per account, unless we agree otherwise in writing.

06 Your responsibilities

  • Give rVODE accurate, complete information — including any status determinations, agreements, and supporting documents.
  • Review what rVODE prepares before you send, file, or pay. The final review is yours.
  • Meet your own filing and payment deadlines with the relevant authority.
  • Use rVODE lawfully, and only for film and television bookkeeping — the service is built for that work and not warranted for others.

07 Pricing & billing

Current plans and prices are shown on our pricing page and are exclusive of VAT. In summary [keep in sync with the site]:

  • Crew · Solo — £25/month, or £250/year.
  • Crew · Pro — £39/month, or £390/year.
  • Production · Base — £99/month, or £990/year; Plus — £159/month, or £1,590/year; each additional active production £35/month.
  • Year-end, signed — an optional add-on; an independent licensed professional reviews and signs your statutory return, priced by entity.

There is no free tier and no trial. Before you start, we move your books over by hand so day one is a clean ledger. Plans are billed monthly or annually in advance. [Confirm renewal, cancellation, refund, and price-change mechanics with legal — and keep them consistent with the marketing site, which makes no “cancel anytime” claim.]

08 Third-party services

rVODE relies on third parties — including Tink (open banking), identity and sign-in providers, EU hosting, and tax-authority filing channels. Your use of those services may be subject to their own terms. We are not responsible for third-party services beyond our reasonable control, but we choose them carefully and bind our processors by written agreement.

09 Intellectual property

rVODE, its software, brand, and content are owned by RVODE LIMITED and its licensors. We grant you a limited, non-exclusive, non-transferable right to use the service under these terms. You keep ownership of your own data and content; you grant us the rights needed to operate the service for you (see section 10).

10 Your data

Your books and records are yours. We process personal data as described in our Privacy Policy, store it inside the European Union, and let you export it. On account closure we retain records only for the statutory period and then delete or anonymise them.

11 Availability

We work to keep rVODE available and accurate, but we provide the service “as is” and do not warrant uninterrupted or error-free operation. We may carry out maintenance and update the service. [Insert any service-level commitments, if offered.]

12 Liability

Nothing in these terms limits liability that cannot be limited by law (including for death or personal injury caused by negligence, or for fraud). Subject to that, and to the extent the law allows: rVODE is not liable for indirect or consequential loss, for lost profits or data, or for decisions you make on the basis of figures it prepares; and our total liability in any 12-month period is limited to [the fees you paid in that period / agreed cap].

For legal review. Liability cap, warranty disclaimers, indemnities, and any consumer-law carve-outs must be set by counsel for each market.

13 Termination

You may close your account at any time; the current billing period runs to its end. We may suspend or end access if you breach these terms, use the service unlawfully, or fail to pay, giving notice where reasonable. On termination you can export your data, and we retain records only as the law requires.

14 Changes to these terms

We may update these terms as the service or the law changes. We will post the new version here and, for material changes, tell you in advance. Continuing to use rVODE after a change means you accept the updated terms.

15 Governing law & disputes

These terms are governed by the laws of [England and Wales], and disputes are subject to the [exclusive] jurisdiction of its courts, without affecting any mandatory consumer rights in your country of residence. [Confirm per market at Swedish launch.]
